I'm not entirely sure of the process, so I'm going to talk to James Askew...who is the Director of Public Relations on the student senate executive board. He's dealt with renting vehicles for traveling in the past, so he can explain it to me. I'll take good notes and get back to you on Tuesday night. Maybe Wed. afternoon, since I'll be studying for the chem. exam on Tuesday night... |

Any time line yet for this bus/car rental thing? I forgot to send out an e-mail of inquiry, I will do that asap along with the reminder/detail of the 3/7 meeting.... Perhaps, we could have two plans going one for a lot of people one for a few and then once we've got an idea of how many folks would like to go we can take it from there with which plan to enact? |

I got all the information about the car rental...or large van depending on how many people want to go. We aren't going to be able to have two plans for this. We're going to need to know how many people are going before we do the requisition for the car. In other words, we need to get people signed up, and let them know that backing out will be frowned upon, and that signing up to go last minute will probably not work. Also, talking to Kirk yesterday during the meeting, I thought that perhaps we should leave earlier than 2 pm. I thought if we leave around noon or 12:30, we would be back by 4 or 4:30. If we leave at 2, we won't be back, probably, until 6 pm. Thoughts? --Last edited by Tanya on 2008-03-01 10:38:21 -- |

Avoiding rush hour seems necessary and strategic. I vote earlier? Any other opinions? |

Also, can people drive separately? I know that when o.chem toured the U of M we could go separately. |

I think they can, but we're not supposed to carpool...mostly for insurance purposes. So if some people want to go, but have to leave earlier, then it probably wouldn't be a problem. |

I've only gotten one response about the fieldtrip. Evan is very enthusiastic about going but hasn't told me yet whether or not he needs a ride. Based on this....I think we are not going to rent a bus. Even if everyone who attends the meeting on the 7th wants to go and every one of those people wants us to provide transportation....that's only going to be 15-20 people at the very most. It sounds like a short bus to me! I also feel like 1/3 of the group will self-transport and/or carpool. I still would like to know when is the last day I can come to the group and say...."it's this many people." For instance, can it wait until after the meeting? Can we just start the process on Monday the 10th? Tangentially, there is a hybird vehicle rental organization called hOURCar. Here's there website: www.hourcar.org It might be useful to get up an account with them for MCTC. Although, I don't think they could help us out in this occasion, perhaps in the future. |

I think we'll be fine setting everything up on Monday the 10th. We use enterprise, because the school actually has a contract with them...it isn't a matter of setting up an account with the hybrid service...its that the school has it set up so we only rent cars from enterprise. Also, I had never really assumed we would be renting a bus. I assumed, depending on the number of people, we would be renting vans. |

Alright well, we officers want to go and Evan wants to go. Since Bryan, Evan and I can all drive, that means we'll have enough seating to bring about 12 people total. My prediction is that we won't need to rent anything because for every four people that wants to go, I bet there is a driver among them. I do think though, if we get more than 12 people who are going to go we should rent something though in order to be in compliance with MCTC's fieldtrip guidelines. What do you think? |

The whole point is that the school doesn't want us carpooling with our own cars. For two main reasons: 1. Insurance issues. With the rented vehicles, everyone in the car is fully insured by enterprise. 2. We're not supposed to pay for our own gas, that can come out of our budget, and there is no way to be refunded that money if we drive ourselves. |

So even if 6 people can and want to go, we have to rent a two cars? What if more people decide they want to go after we've already arranged for the two cars? |

Six people can fit in one vehicle...they have large vans that hold up to 15 people. As to a deadline...I think we need to know by Tuesday, March 11th. That gives us a little more than three weeks to get the requisition forms and purchase orders taken care of. If people want to sign up after we have set everything up, and we have room, then they can go. But once the vehicle (vehicles depending on how many are truly interested) is/are full, then we're full. |
